The Sales Operations Administrator will be a candidate with a genuine desire to grow within the company and who fully understands and recognizes the definition of a true opportunity. They will be responsible for managing our order fulfillment process to ensure that Reparel’s B2B and B2C customers are billed, invoiced, and shipped with the utmost care, attention to detail, and expediency that has made Reparel™ a vital and integral part of the practices, physicians, and clinics we serve. In addition to the core functions of order management the ideal candidate will possess an innate understanding of what a stellar customer experience consists of, both externally and internally. In addition to applying an authentic customer experience, you will also be required to perform basic customer outreach calls and or email correspondence. The Sales Operations Administrator will also be involved with basic data collection and creation that will assist the sales department in creating new opportunities to grow their book of business.
What will you be doing in this role:
-Perform all stages of the order management process
-Ship out orders and samples to B2B, B2C customers on a daily basis utilizing both of Reparel’s fulfillment and distribution centers
-Invoicing and reconciling all accounts through Quickbooks Online
-Work directly with the sales department to ensure that samples are shipped accordingly and provide confirmation of product received
-Performing both on the phone and email customer support for both B2B and B2C customers as it relates to ordering, returns, and general inquiries
-Assist in maintaining, receiving and ordering both Reparel™ product as well as shipping supplies for our Chico location
-Run and or perform end of day reporting as it relates to products shipped.
-Perform basic data entry into spreadsheets
-Perform effective sales communication outreach (Phone Calls) to support predetermined and targeted market segments when needed
-Document all verbal and email communication in Reparel’s CRM tool
-Stock and inventory product in the Chico fulfillment center, Must be able to lift boxes not exceeding 30 pounds.
-Serve as the primary contact for our East Coast shipping location
What we will require for this position:
-Basic to intermediate understanding of shipping processes
-Acute attention to accuracy and detail
-An agile disposition for continual growth and the constant adaptation that is required in a fast growing startup work environment
-Superior verbal and written communication skills
-Strong ability and willingness to accept coaching and development from all parts of the business
-Strong organizational skills including follow up, time management, ability to multi-task and manage multiple priorities in a fast-paced environment
-Basic to intermediate working knowledge of Google cloud based and Microsoft Office software and office solutions.
-Preferably has at least an intermediate working knowledge of either or both Microsoft Excel and Google Sheets
-Intermediate to advanced typing and grammar proficiency
-Excellent listening skills
-Externally Focused - Understands the upstream and downstream implications of his/her work. Tracks and shares external trends, best practices or ideas
-Performance Driven and Accountable - Has high performance standards
The best candidate will:
-Have working knowledge and or experience using CRM software
-Will have experience in eCommerce
-Will have 1-2 years prior experience in customer service or sales in an office environment (phone and email communications)
